Surveys (PSindex®)

Add or update participants after launch

Add people to a PSindex survey that has already gone out, or change their column values, and see exactly what changes before you save.

Last updated October 13, 2026

Rosters change after a survey goes out. A team was left off, a new manager started, or a department value was wrong. The participant editor lets you fix that on a survey that is collecting or closed, and shows you the effect before anything changes.

Before you start

You need the admin role. Open the survey, go to Participants, and select Edit participants.

The editor works on surveys that identify people by email. If it reads “This survey identifies people by email and ID, so it can’t be edited here yet”, contact the LeaderFactor Solutions Team at [email protected].

Stage your changes

Changes collect under Pending changes first. They’re kept if you leave and come back, and nothing on the survey changes until you save.

  • Add people: select Upload people and choose a CSV with an Email column. First name, last name, and any of the survey’s columns are used when they’re there. A blank cell leaves the current value alone. A column the survey doesn’t have yet becomes a new column.
  • Change one person: find them in the list and select Edit.
  • Change a column for everyone pending: use Set a column on every pending row, pick the Column, enter the Value, and select Set value.

Select Discard all to start over.

Review and save

  1. Select Review change. The review runs your change for real and then undoes it, so its numbers are the ones you’ll get: who is added or updated, any new columns, which managers gain or lose access to their team’s results, who won’t be connected to the org chart, how completion moves, how many invitation emails go out, and how many licenses are used.
  2. On a collecting survey, choose whether to Email the new people their invitation. It’s on by default.
  3. Select Save changes.

Adding to a closed survey

You can add people to a closed survey, with care. Anyone you add counts in its totals and lowers its completion rate, and they can’t answer unless the survey is reopened. See Extend or reopen a closed survey.

What the editor doesn’t do

To remove someone, or to resend or reset one person’s invitation, use the row actions on the Participants page. See Resend, reset, or remove a participant. To move people to a different leader on the org chart, see Fix your survey’s org chart.
