Invite and remind raters for a cohort
See who was asked to rate each participant in a cohort, nudge raters who haven't responded, and list raters to invite automatically when a participant finishes the assessment.
When a course’s assessment collects rater feedback, the cohort page shows the raters side of it: who was asked to rate each participant, where each rater stands, and a way to remind them. You can also list raters ahead of time so they’re invited the moment their participant finishes the assessment.
Before you start
You need the admin role (or training-admin access), or you need to be the facilitator of the cohort. These tools appear only when the cohort’s course has an assessment that invites raters. See Create and manage training cohorts.
See a participant’s raters
- Open the cohort page.
- Select a participant’s row in the Participants table to open their panel.
- Find the Raters block under each assessment attempt.
Each rater is listed with their name and email, Relationship, and Status: Invited, In progress, or Completed with the date. The block also shows when each rater was last nudged.
Nudge raters
A nudge is one reminder email to a rater who hasn’t finished rating. Raters who already completed are never emailed. Nudges go to the participant’s most recent attempt only; earlier attempts are history.
- One rater: in the participant’s Raters block, select Nudge beside the rater.
- One participant’s raters: select Nudge N raters on the attempt, then confirm.
- The whole cohort: select More actions (the ⋯ button beside Manage participants), choose Nudge raters who haven’t responded, then confirm. The confirmation lists who gets a reminder and who is skipped. Raters reminded in the last day, or who already have an email on its way, are skipped.
Invite raters automatically
List the raters for each participant in advance, and each one is invited as soon as their participant finishes the course’s assessment.
- On the cohort page, select More actions (⋯), then Auto-invite raters. The menu item shows how many participants are set up.
- Select a participant to open their list.
- Enter the rater’s Email address and Name, and choose their relationship: direct report, peer, supervisor, or other.
- Select Add. If the participant has already finished the assessment, the button reads Add and invite, and the invitation goes out right away.
To take someone off a list, select the trash icon (Remove from list) on their row.
What each status means
- Queued: the participant hasn’t finished the assessment yet. The invitation goes out the moment they do.
- Invited, In progress, Completed: the invitation went out, and this is where the rater stands.
- Removed: the participant removed this rater on their own rater screen after the invitation went out. To invite them again, remove them from the list and add them back.
A rater whose response belongs to an attempt the participant finished before their most recent one is marked as an earlier attempt. Select the info icon beside a status for an explanation.
Use Filter to show only participants with Nobody listed, with raters still Queued, with raters already Invited, or Invited for an earlier attempt.
Rules worth knowing
- Only finishing the assessment inside this cohort’s course sends the list. Taking the same assessment somewhere else in the platform doesn’t.
- Each listed rater is invited once. A participant who retakes the assessment doesn’t trigger a second invitation.
- Raters attach to the participant’s latest attempt.
- A participant can’t be their own rater, and raters can only be listed for people in this cohort.
Import raters from a spreadsheet
Set up raters for many participants at once with a CSV file.
- In Auto-invite raters, select Import.
- Select Download the template. It already lists every participant, with the rater columns empty.
- Fill in Rater Email, Rater Name, and Relationship for each rater. Use one row per rater, and repeat a participant’s row for each of their raters. Relationship is one of Direct report, Peer, Supervisor, or Other. Left blank, it’s saved as Direct report.
- Back in the panel, choose a file and pick what it should do:
- Add to the list adds the people in the file, or updates them if they’re already listed. Nobody already listed is removed.
- Replace the list makes the file the whole list. Raters not in the file are removed.
- Select Preview changes. The preview shows exactly what will be added, updated, and removed, which rows are skipped and why, and how many invitations go out right away.
- Select Add to the list or Replace the list to confirm.
Nothing changes until you confirm. The file’s column headers and relationship words stay in English whatever language you use the platform in. Select Export to download the current list in the same format.
Common questions
Can participants still invite their own raters? Yes. Listed raters show up in the participant’s rater table, and participants can add more themselves. See Invite raters to your assessment.
