Manage license seats
See what your organization has purchased, assign seats to people, and free them up.
Licenses are the seats your organization has purchased for courses, assessments, and facilitator certification. Assigning a seat is what actually gives a user access to the content — adding a user to the org isn’t enough by itself.
Before you start
You need the admin role. License Management lives under Manage → Admin.
See what you have
Open Admin → License Management. Licenses are grouped by category, with counts of what’s purchased and what’s assigned. What individuals see of this is the Your Licenses list in their own Settings.
Assign seats
- Open the license category.
- Assign seats to users. The user’s account is entitled immediately — the course or tool appears in their Learn area.
Enrolling people through cohorts or workshops draws on the same seat pool, so coordinate with facilitators before a big session. See Create and manage training cohorts.
Free up seats
When someone leaves or no longer needs access, unassign their seat to return it to the pool. Do this as part of offboarding, together with deactivating the user.
